Project Coordinator

About the Role:

The person in this position will be responsible for owning all tasks related to project coordination, execution, installation, and closeout. It includes order processing, order tracking, project scheduling, coordinating installations with clients, internal teams, and external vendors. Customer service and communication is a top priority.

We are looking for someone who is well organized and able to tackle many tasks at one time. They will have a desire for an extremely high level of customer service and seek to communicate often and deliberately both with clients and internally. Strong skill sets in organization, structure, and attention to detail will also be very important.

 

What You’ll Do:

  • Collaborate with sales teams and clients to gather project information and develop project timelines

  • Process orders with manufacturers, complete order related forms, acknowledgement verifications, and respond to vendor inquiries

  • Work extensively in Project Management and Business Operating software to monitor the status of orders, update accordingly, and execute receiving and installation reports

  • Verify vendor invoices and initiate accurate billing practices with accounting department

  • Schedule installations while updating and maintaining shared installation calendar

  • Manage closeout project procedures ie. tracking punch, submitting claims and warranty issues, and providing closeout documentation

  • Create final project manuals for clients

  • Assisting in overall operational function of office when needed

 

The Right Applicant for This Role Has:

  • A positive attitude, a strong work ethic and be self-motivated

  • Capability to prioritize responsibilities with the appropriate level of urgency, able to solve problems, anticipate issues and make correct decisions based on a variety of situations

  • The capacity to manage multiple projects simultaneously while meeting deadlines consistently

  • Superior communication skills; verbal and written; able to listen effectively to solve problems, anticipate issues and make effective decisions

  • Excellent interpersonal skills and able to work as part of an effective team and independently

  • Methodical, accurate and consistent attention to detail

  • Ability to commute to the office several days a week

  • Proficient Microsoft Office applications such as Outlook and Excel

  • Experience in Khameleon Software and Smartsheet is a plus
