Operations Assistant

About the Role:

We are seeking a highly organized and multitasking professional to join our team as an Operations Assistant with a focus on Order Fulfillment and Office Management. In this dynamic role, you will be responsible for tasks related to order fulfillment with vendors and managing various office operations. Your ability to juggle multiple tasks efficiently will be crucial to ensuring smooth and effective workflows.


30-40 hours a week, Monday through Friday, hybrid schedule with Wednesdays and Fridays work from home.


What You’ll Do:

Order Fulfillment

  • Issuing vendor PO’s with necessary supporting documents

  • Responding to vendor questions and discrepancies on PO’s

  • Verify specifications and pricing on vendor acknowledgements

  • Ensuring timely response from vendors with necessary lead times, etc.

  • Issuing change orders to vendors

  • Being a liaison internally facilitating the necessary communication with sales and design to respond to vendor questions.

  • Processing order information into project management software, tracking and updating changes as needed

  • Collaborating with Project Coordinator team to ensure proper scheduling and meeting of project timelines

  • Validating and acknowledging when product is received in warehouse

  • Manage warranty claims and service related requests

  • Develop closeout packets with warranty and cleaning information

Office Management

  • Manage office supplies inventory and place orders as needed to ensure continuous availability.

  • Maintain relationships and serve as liaison with building management, IT and tech support to address operational issues in a timely manner

  • Partner with HR on compliance and new employee onboarding

  • Aid in the general maintenance, organization, and appearance of the office space

  • Assisting with general tasks, showroom tour/event preparation

  • Coordinate maintenance and repair of office equipment and facilities

  • Provide customer service support by answering calls to general phone line

  • A positive attitude, a strong work ethic and ability to be self-motivated

  • Capability to prioritize responsibilities with the appropriate level of urgency, able to solve problems, anticipate issues and make correct decisions based on a variety of situations

  • The capacity to manage multiple projects simultaneously while meeting deadlines consistently

  • Superior communication skills; verbal and written; able to listen effectively to solve problems, anticipate issues and make effective decisions

  • Excellent interpersonal skills and able to work as part of an effective team and independently

  • Methodical, accurate and consistent attention to detail

  • Ability to commute to the office several days a week

  • Proficient Microsoft Office applications such as Outlook and Excel

  • Experience in Khameleon Software and Smartsheet is a plus
